　　单位证明函撰写说明：
　　单位出具的《在职及收入证明函》可以说是签证申请的核心材料之一。格式、内容规范，措辞郑重、得体的信函，可以从一个侧面表现出申请者所在单位的良好形象，给签证官留下较好的印象，起到为申请加分的作用。对单位函件的要求有以下几个方面：
　　一、办理签证所要求的内容要素必须完整
　　外国驻华使、领馆一般要求单位证明函包含以下内容：
　　1.单位确认申请者姓名、护照号、在本单位工作年限、现任职务、现工资水平等;
　　2.单位确认申请者此行是公费，还是自费;
　　3.单位确认是否担保在申请者出国期间，为其保留职位和工资。
　　以上是单位证明函内容的一般要求。而不同类型单位的证明函出具也有不同的讲究。
　　二、国家机关出具证明函应遵循外交外事规范
　　国家机关包括各级人民代表大会及其常务委员会(也就是我国的各级议会)、政府机关和司法机关。一般来说，国家机关的公务员工作和收入都相当稳定，有利于签证办理。但是千万不要被内容不完整、形式草率的单位证明函给拉后腿。
　　国家机关出具证明函应注意以下几点：
　　1.中国是一个主权国家;汉语言文字是国家的官方语文。而依照外交规范和惯例，国家机关向外国政府及其派出的使节出具的公函，也属于外交照会的范畴。因此，国家机关出具证明信，只出具中文版本，并加盖公章，作为正式的语言版本;英文翻译稿不盖章，附在中文正本后面，作为非正式附件，以方便使馆领事人员阅读理解。
　　2.信函要打印在单位套头印刷的专用信笺上。如果有外文版的外事专用信笺就更好。可盖人事部门的部门章，也可盖单位公章。
　　3.英文稿既然是非正式附件，就不用打印在单位套头印刷的专用信笺上，可打印在空白的A4纸上，且不盖章，也不签名。但仍应采用正式公文体的格式、字体和措辞(如“whereas鉴于”、“hereby兹/特此”、“hereinafter以下/下文”等公文用的文绉绉的“拽”词可以适当运用)。
　　4.无论是中文稿，还是英文稿，我方、外方的国号、政府机构名称都必须规范。如英国的全称是“大不列颠及北爱尔兰联合王国the United Kingdom of Great Britain and Northern Ireland”。
　　要弄清楚对方是驻华大使馆(embassy)还是驻某个城市的领事馆(consulate)，级别是不一样的。
　　各国的规范英文全称附在本文后面。
　　如果实在搞不准规范的国号全称，可以用规范的简称，如：Embassy of the Commonwealth of Australia(澳大利亚联邦驻华大使馆)，可以简称为Australian Embassy in China;但英国大使馆不可以简称为British Embassy，应为Embassy of the United Kingdom;美国大使馆不可以简称为American Embassy，而是Embassy of the United States，或U. S. Embassy。
　　各级国家机关、公务员职务的名称，都有其对应的规范的英文名称。外交部曾经发布过规范译名。现附于本说明之后。
　　以上是国家机关出具外事证明函的一般外交规范。一般来说，地、市级以上国家机关都设有外事办公室。具体的外事公文规范，以外事办的解释为准。
　　三、民间机构出具证明函的要求
　　民间机构出具的函件，规格不必像国家机关的那样正式。但所要求的内容要素一样也不能少。
　　格式上，也显得郑重一些，采用一般商业公函的格式。措辞上可以免去政府公文的一些文绉绉的“拽”词儿，显得更加简洁、更加straight一些。
　　对外国驻华使馆的英文称呼可以不用全称，但一定要用规范的简称。如，英国驻华大使馆，可以简称Embassy of the United Kingdom(英国正式的全称是the United Kingdom of Great Britain and Northern Ireland)，或Embassy of the UK，不要用不规范的British Embassy;美国大使馆，可以简称Embassy of the United States(美国全称the United States of America)，或者U. S. Embassy，不要用American Embassy。
　　民间职业、职位、职称等实在太多，本文无法一一列举。驴友可参考以下帖子，那里有一份长达53页的职位、职称大全(但是注意里面的许多国家公务员职务名称是不规范的，不要采用)
